Why a custom CRM instead of an off-the-shelf one
Most small businesses that buy a CRM subscription use a tenth of it and fight the rest. The stages do not match how a job actually moves, the fields are wrong, and the reports answer questions nobody asked. A custom CRM starts from your process: how an enquiry arrives, what happens next, who does it, and what you need to see at the end of the month.
We build these for our own use as well. Every enquiry from every campaign we run for a client is recorded with its source, the page it came from and the keyword that produced it, and that is what our monthly reports are built from. The same approach becomes a system for your business.
How an engagement runs
It is scoped in phases and each phase is quoted as a fixed price before it starts. The first phase is the core: the records, the stages and the list views your team lives in. Later phases add reporting, integrations and automation as they earn their place. Your team is walked through it on real work, and we stay close for the first weeks.
After go-live a flat monthly fee covers running it: hosting, database and file storage on paid, backed-up tiers, daily backups with point-in-time recovery, security patching and monitoring. Support is email and phone in business hours, and something broken and stopping work is same business day.
What is quoted separately
New features that do not exist yet. Integrations with other systems. Importing history from an old system. Each is scoped and priced before we start, and you approve the price first, every time.
Questions we get asked
How is this different from a web app?
A custom CRM is a web app with one job: your leads, quotes, jobs and clients. The web app page covers the other tools a business runs on, such as job cards, checklists and portals.
Can it take enquiries from my website and ads?
Yes. Website forms, calls, Google Ads and social enquiries land in one list with their source attached.
Who owns the data?
You do. If you leave, we export every record and hand it over at no fee.
How long does the first phase take?
It depends on the process, and the quote says. A core system with records, stages and list views is typically weeks, not months.
